What is ELLA?
ELLA is the exclusive self-service portal for Austrian Post business customers. It gives you 24/7 access to all rele-vant information and services related to your business relationship with Austrian Post – all in one place, simple and time-saving.
In ELLA, you can access and manage your invoices, orders, contracts and Business Post.Cards at any time in one central location. You can submit invoice and company master data changes online and easily manage user accounts yourself. Additional services such as applying for newspaper licences, product qualification and posting preparation with the Austrian Post Shipping Tool are also available through the portal.
Yes, ELLA is available to you free of charge.
At present, you cannot place orders directly via ELLA.
It is not possible to make payments directly through the portal. However, you can view all outstanding amounts on your invoices either collectively or individually. Each invoice also shows whether the amount is still out-standing, already settled, or in a reminder stage.
In the top-right corner, you will find the language setting DE / EN. Simply click on your preferred language. Most ELLA content is already available in both German and English, and a comprehensive English version is cur-rently being developed.

Registration & Master Data
You can register here or send us an e-mail at ella@post.at with your company name and your customer number* (starting with 0021 or 0022).
You will then receive an e-mail with instructions for your identification. For this, you will need to provide information about your company and yourself, and upload two documents:
•Proof of identity (identity card, passport, or driving licence)•A company-authorised confirmation (you can find the document for this here)
The identification process is necessary to protect your company data from unauthorised access. Once your identification has been successfully verified by Austrian Post (this usually takes 24 hours), you will receive a link to complete your registration. There you can set your personal login details and start using ELLA immediately. Do you already have a business post.at account? During registration, you can activate this account for ELLA.

No – you can use your existing business post.at account for ELLA. However, you first need to complete the identification process and have your account activated for ELLA. Once this is done, you can log in to ELLA with the same credentials. You can find the application form here. Once activated, your business post.at account will work for both ELLA and post.at services.
As a business customer, you have access to a wide range of services that are not available to private customers. Since ELLA is exclusively for business customers, registration with a private post.at account is not permitted. Please either register for ELLA using a business e-mail address or delete your private post.at account and create a new business post.at account with your e-mail address.
If you would like to change your e-mail address or password, you can do so directly in the portal. Once logged in to ELLA, click on your initials in the top-right corner of the header. Under "My Profile", you will find the section "Login & Settings". Here, you can update your e-mail address and password at any time.
If you need to reset your ELLA password, you can do so here.
Once logged in to ELLA, click on your initials in the top-right corner of the header. Under "My Profile", you will find your personal details. Under "My Company", you can view your company details. Here, you can update both your personal and company details as well as adjust your invoicing options.

Administration
User Management
If you hold administrator rights in ELLA, you can invite colleagues to join at any time and assign permissions. Simply log in to your account, click on your initials in the top right corner of the header, and go to "User management".
As an administrator, you hold the highest level of access rights in ELLA. You can grant and withdraw permissions for other users. It is always advisable to appoint a second administrator within your company to ensure coverage during holidays, staff departures, etc.
Up to 500 people from a company can have access to the portal.
If you have administrator rights in ELLA, you can delete invited users at any time by going to "User management", regardless of whether they have already registered or not.
If you hold administrator rights in ELLA, you can update your colleagues’ permissions at any time in "User management". You can grant additional permissions or withdraw existing ones as needed.

Invoices, Orders & Contracts
After logging into ELLA, the dashboard on the homepage displays your three most recent invoices and orders.
By clicking the "All" button, you can view a complete overview of all invoices and orders. On the "Invoices" page under the "Accounting" menu, you can search for invoices using:
• the invoice number • the delivery note number • or other search terms
If you cannot see any invoices or orders, you do not have the necessary permissions. In this case, please contact your administrator. You can find a list of your administrators here.

If you are looking for a specific invoice, the best option is to use the search function. Log into ELLA, go to "Accounting" and "Invoices" and click on "Advanced search".
There you can search using the following details:
•Invoice number•IMIS number•Delivery note number•Order number
You can also combine multiple search terms – up to 10 terms, separated by commas. Even partial numbers are sufficient, and the system will display all invoices containing that sequence of digits. Additionally, you can refine your search further by using the date filter.

Invoice and order data are stored in ELLA for a period of 24 months.
When you download your invoices (in PDF, XLS, XLSX, or CSV format), the gross amounts will also be displayed.
As a general rule, all your invoices are visible in ELLA – the only exception is parcel label invoices. These will continue to be sent as usual by e-mail to the address you have provided.
Once logged in to ELLA, click on the "Accounting" menu and then select "Contracts". Your contracts are dis-played in descending order by date. If you cannot access the contracts, you do not have the necessary permis-sion from your administrator. You can find an overview of your administrators here.

Administration
Bonus
If you have concluded one or more bonus agreements with Austrian Post, you can view your bonus-relevant sales in ELLA. When you are logged into ELLA, you will find the "Bonus" item under the Accounting menu item. If you cannot see this menu item, you do not have the necessary authorization.
The data displayed is for guidance only. It is based on the current data and may change due to subsequent sales or credits. All information is legally non-binding and represents a snapshot in time.
If you are part of a customer group, the actual amount of your bonus scale is based on the joint bonus scale. You can see your proportionate, self-generated sales on ELLA. The bonus scale is calculated based on the joint sales of the customer group, so the jointly achieved bonus rate applies.
There are two different bonus models: the "from" scale or the "from-to" scale. Your contract will indicate which bonus model applies to you. With the "from" scale, a fixed percentage is credited once a specific sales threshold is reached. With the "from-to" scale, each sales share is credited with the percentage of the respective level. This means that sales within level 1 receive the percentage of level 1, while sales that exceed this and fall into level 2 receive the percentage of level 2.
All requirements, your product-specific terms and conditions, immediate discounts based on advance payments, and details about payouts can be found in your contracts, which can be accessed under the menu item Accounting – Contracts.

Business Post.Card
Once you have logged into ELLA, click on your initials in the top right-hand corner and then on "My company". On the right-hand side next to your company data, you will find an overview of your Business Post.Cards. The respective Business Post.Cards contain information about which postal products they are valid for. If you cannot access Business Post.Cards, you probably do not have the necessary authorization. Please contact your administrator. You can find an overview of administrators here.
Yes, you can use ELLA to order new Business Post.Cards, block existing Business Post.Cards, or change the validity for certain products at any time. Once you have logged into ELLA, click on your initials in the top right-hand corner and then on "My Company". In the right-hand section next to your company data, you will find an overview of your Business Post.Cards. Click on "Add new card" if you want to order one. To make changes or block cards, click on the three dots in the top right-hand corner of the respective card and make the change or block the card.

Contact Form
Simply use the ELLA contact form. For any type of inquiry, click on the contact icon next to your initials in the top right-hand corner of the header.
If you have a question about the invoice, click on "Submit invoice inquiry" in the invoice details view. If you have questions about individual items, click on the question mark icon in the table next to the respective invoice item.

Using the contact form, you can select "Layout check & postage paid impression" in the "Letter, advertising, and media mail" category. Depending on the selected product, a layout check, a postage paid impression check, or both are possible. To do this, please upload a copy of your shipment with the address field legible.

Parcel-Zone
The Parcel-Zone brings together all the functions you need for efficient and convenient parcel management. Take advantage of the extensive information and tools available for tracking and analyzing your shipments. Here, you have full online access to your shipments from the past 12 months, direct access to parcel images including signatures, various reporting features, and much more. The Parcel-Zone is continuously being developed. Additional features that make shipment management even easier are added on an ongoing basis.
Only products and services that you have actually used in the past 12 months are displayed.
You will find shipments from the last full 12 months in the Parcel-Zone.
Yes, the Parcel-Zone also displays shipments that have not yet been physically handed over to the postal service but for which pre-advice data has already been submitted.
No, in the Parcel-Zone you can only view shipments assigned to your debitor and customer IDs – including all details and analysis options.
In the delivery note report, you can filter by acceptance and delivery. After exporting the data, you will receive the assigned shipments in detail.

ELLA Service
Adress Check
The Adress Check is a paid online tool provided by Austrian Post for cleaning and correcting customer master data. It verifies the deliverability of addresses, their accuracy and completeness, and whether your address data can be updated or supplemented. For further details, please click here.
Yes. Data transmission to and from the Adress Check is secured via HTTPS with 256-bit encryption - the same level of security used in online banking. The data is processed in secure and certified data centers operated by Austrian Post, and only authorized personnel have access.
After an Adress Check, you can integrate the cleaned data into your database and use it without limitations. After a Mailing Check, you receive a file that may be used for a one-time postal mailing (Direct Mailing). After that, the file must be deleted and cannot be reused.
You will receive a free, detailed analysis report along with a corresponding offer. Based on this, you can decide whether and to what extent you want your data cleaned.

The Post Shipping Tool provides you with user-friendly support in preparing your letter mail, Info.Mail and newspapers & magazines items for dispatch.
No, you can also carry out your consignment notification without a login. With an account, you benefit from many advantages, such as customer data management and order management.
For the Info.Mail and/or Sponsoring.Mail products, upload your mailing sample 3 working days before delivery in order to receive a review and binding information regarding the content criteria. This does not include checking for machine capability and franking.

To apply for the Newspaper Authorization, please use the relevant contact form. You can apply for the Newspaper Authorization even if you do not have an ELLA account. If you are logged into ELLA, you will benefit from pre-filled information, making it easier and quicker to apply for the Newspaper Authorization.
